Refund & Cancellation Policy
At KQ Finest Adventures, we strive to make every journey seamless and stress-free. We understand that plans can change, and we have put in place a fair and transparent Refund & Cancellation Policy to protect both our clients and the quality of our services. Please read this policy carefully before making a booking.
1. Booking Confirmation
Your booking with KQ Finest Adventures is considered confirmed once we have received payment of either the required deposit or the full trip amount, whichever applies to your package. A confirmation notification will be sent to you upon receipt of payment. Please retain this as proof of your booking.
2. Cancellation & Refund Schedule
Should you need to cancel your trip, the following refund schedule applies based on how far in advance written notice of cancellation is received before your scheduled departure date:

3. No-Shows & Missed Departures
If you fail to show up on the day of departure or miss your scheduled trip for any reason without prior written cancellation, no refund will be issued. This includes cases where a traveler arrives late and misses the group departure. KQ Finest Adventures will not be held liable for losses arising from a client's failure to present themselves at the agreed departure point and time.
4. Non-Refundable External Expenses
Certain costs associated with international travel are incurred directly with third-party providers and are outside the control of KQ Finest Adventures. As such, the following expenses are strictly non-refundable regardless of when a cancellation is made:
- Visa fees and embassy application charges
- Vaccination and medical clearance costs
- Travel insurance premiums
- Airline penalties, ticket change fees, or non-refundable flight tickets
We strongly advise all clients to take these costs into account when making their booking and to factor them into their travel budget accordingly.
5. Booking Transfers
We understand that sometimes life happens. If you are unable to travel as scheduled, you may request to transfer your booking to another eligible traveler or to a future trip date, subject to availability. Please note that transfer requests are subject to applicable administrative or price-difference charges. All transfer requests must be submitted in writing and approved by our team before they become valid.
6. Cancellations by KQ Finest Adventures
In the unlikely event that KQ Finest Adventures is required to cancel a scheduled trip — due to unforeseen circumstances, insufficient numbers, safety concerns, or force majeure events — affected clients will be offered one of the following options at their discretion:
- Full Refund of all payments made to KQ Finest Adventures
- Trip Rescheduling to an alternative date mutually agreed upon
- Travel Credit to be applied toward a future booking of equal or greater value
KQ Finest Adventures will not be liable for any additional costs or losses incurred by the client as a result of such a cancellation, including but not limited to flight or accommodation costs booked independently.
7. Refund Processing Timeline
Once a refund request has been reviewed and approved by our team, please allow 14 to 30 business days for the refund to be processed and reflected in your account. Processing times may vary depending on your bank or payment method. KQ Finest Adventures is not responsible for any delays caused by financial institutions or third-party payment processors.
8. Travel Insurance
KQ Finest Adventures highly recommends that all clients — whether travelling locally or internationally — obtain comprehensive travel insurance prior to their trip. Travel insurance provides valuable protection against unforeseen events such as trip cancellations, medical emergencies, lost luggage, and travel delays. Failure to secure travel insurance is entirely at the client's own risk, and KQ Finest Adventures will not be held liable for any losses that could have been covered under a travel insurance policy.
